Email Integration

Connect Gmail to send invoices, capture replies, and trigger follow-ups.

Email Integration

Zenaris connects to Gmail so invoices and follow-ups go out from your real address, and incoming replies attach back to the right record.

Connecting Gmail

  • Go to Settings > Email Providers
  • Click Connect Gmail
  • Sign in with the Google account you send client email from
  • Grant the permissions Google requests (send, read, modify labels)
  • Zenaris confirms the connection and starts watching for replies

You can connect more than one mailbox on STANDARD (up to 3) and PRO (unlimited).

Sending Invoices and Quotes

Once connected, every Send action uses your real address:

  • The client sees the email from you, not from a Zenaris relay
  • Replies land in your normal inbox and in Zenaris
  • Bounce and delivery signals are captured for the dashboard

Inbound Capture

When a client replies to an invoice email, Zenaris:

  • Matches the thread against the original invoice
  • Attaches the reply to the invoice timeline
  • Surfaces a notification if AI thinks it's a payment confirmation, dispute, or schedule change

You can disable inbound capture per mailbox under Settings > Email Providers.

Follow-up Automations

With Gmail connected, you can:

  • Auto-send reminders on overdue invoices
  • Schedule a soft nudge a few days before due date
  • Pause a follow-up sequence when the client replies

Troubleshooting

  • Disconnected after a few days — Google sometimes invalidates the token. Reconnect from Settings > Email Providers.
  • Replies not attaching — Make sure the invoice was sent from the connected mailbox; cross-account threads do not match.
  • Hitting Gmail send limits — Free Gmail allows ~500 sends/day, Workspace ~2000. High-volume sends should use Workspace.
