Privacy Policy
At Zenaris, your privacy matters. This policy explains what data we collect, how we use it, and what controls you have over your information.
Information We Collect
We collect the following categories of information when you use Zenaris:
- Account information — your name, email address, and profile details provided during registration.
- Usage data — how you interact with the platform, including pages visited, features used, and session duration.
- Email data — if you connect your email via Gmail or IMAP integration, we access message metadata and content solely to power invoicing and communication features. We do not sell or share email content with third parties.
- Billing information — payment details are collected and processed by our payment provider, Paddle. We do not store your full credit card number.
How We Use Your Information
We use the information we collect for the following purposes:
- Service delivery — to provide, maintain, and improve Zenaris, including invoicing, task management, and communication features.
- AI processing — to power AI-assisted features such as quote generation, email analysis, and reporting. Your data is processed securely and is not used to train external AI models.
- Analytics — to understand usage patterns and improve the product experience. We use aggregated, anonymised data wherever possible.
- Communication — to send you service-related updates, security alerts, and (with your consent) product announcements.
Data Security
We take the security of your data seriously and implement industry-standard measures to protect it:
- All data is encrypted in transit using TLS and at rest using AES-256 encryption.
- Multi-tenant isolation ensures that your data is logically separated from other users at the database level.
- Access to production systems is restricted and monitored. We follow the principle of least privilege.
Third-Party Services
Zenaris integrates with the following third-party services to deliver its functionality:
- Paddle — handles all billing, subscriptions, and payment processing. Paddle acts as the Merchant of Record.
- Google OAuth — used for secure authentication and optional Gmail integration.
- Email providers — if you connect an email account via IMAP, we communicate with your email provider to retrieve messages relevant to your invoicing workflow.
Cookies
Zenaris uses a minimal set of cookies, limited to what is necessary for the service to function:
- Session cookies — to keep you logged in during your browsing session.
- Authentication cookies — to verify your identity securely across requests.
We do not use advertising or tracking cookies. No data is shared with ad networks.
Your Rights
You have the following rights regarding your personal data:
- Access — request a copy of the personal data we hold about you.
- Deletion — request that we delete your account and all associated data. Once confirmed, deletion is processed within 30 days.
- Export — download your invoices, tasks, and account data in standard formats at any time from your account settings.
- Correction — update or correct any inaccurate information via your account settings or by contacting support.
